Maximising ChatGPT Tasks: Practical Workflow Solutions for Everyday Use

After a wonderfully long break over Christmas and New Year, I’m back at my desk and diving into Go-to-Market (GTM) AI experiments for 2025. My first experiment of the year explores OpenAI’s newly announced ChatGPT Tasks feature. Disclaimer! I find the best way to get the most out of this feature is using advanced prompting when creating a task in order for it to be a serious productivity booster.
So, if you’ve only been dabbling in basic prompts, this blog will help you level up. I’ll share a use case that combines ChatGPT Tasks and advanced prompting to save time and reduce effort for a recurring, real-world task. Let’s dive in!
What are ChatGPT Tasks?
ChatGPT Tasks allow users to schedule specific prompts at regular intervals, offering automated solutions to ongoing needs. However, I quickly realised that on its own, ChatGPT Tasks can feel redundant. Why? Because most people already use dedicated tools (like apps or calendars) for task management.
But here’s the game-changer: combining ChatGPT Tasks with advanced prompting. By crafting a detailed and intelligent prompt, you can automate nuanced tasks that no single app can efficiently handle.
Why Advanced Prompting Enhances ChatGPT Tasks
Advanced prompting isn’t just about specifying a task; it’s about designing a workflow. It enables ChatGPT to:
Interpret complex requirements.
Aggregate and structure data in a meaningful way.
Provide actionable outputs with minimal human oversight.
This combination transforms ChatGPT from a simple assistant into a robust, automated solution for everyday challenges.
Advanced Prompt Use Case: Finding the Best Deals of Pet Products
I’m a pet owner with a cat who has very particular tastes (no room for experimentation here!). Every 4-6 weeks, I research the best deals on a handful of staple products. This task usually eats up hours of my time, comparing prices across websites, factoring in shipping costs, and checking delivery times. By using ChatGPT Tasks and advanced prompting, I’ve built a solution that automates this process entirely.
Here’s how it works (to copy and paste into ChatGPT Tasks):
*** Please set a task to run this prompt search every Friday at 9AM Australian Eastern Standard Time.
Prompt: You are an AI assistant tracking deals on specific cat products for delivery in Australia within 5 days. Here are the details:
Products to Track:
- Royal Canine Indoor Dry Food 2kg and 4kg
- Dine Creamy Treats (any flavour)
- Fancy Feast Cheddar Delights 24-pack
- Greenies Feline Dental Treats (super value or value size, any flavour)
- Breeder’s Choice Cat Litter 30L
Websites to Search:
<list all relevant websites>
Criteria:
- Best price (include applied discounts).
- Shipping costs (if applicable, if not, list as FREE).
- Time to ship (exclude any product that cannot be delivered within 5 days).
- Availability of the product (exclude unavailable items).
Output:
Provide a detailed, structured summary in a table for each product, listing the cheapest retailer and price for each product:
- Product name.
- Retailer name.
- Price.
- Shipping cost.
- Total cost (price + shipping).
- Time to ship.
- Discounts applied.
****
The Result
Every Friday morning, ChatGPT automatically searches for deals across multiple websites, filters by availability and shipping timelines, and compiles the results into a neat table only providing the lowest cost provider against each product. The time saved? At least two hours every month. Governance is still key here and it's important to check its output.
How This Translates to GTM
This use case may be small, but it highlights how advanced prompting and ChatGPT Tasks can save significant time in repetitive processes. Imagine the potential for GTM workflows:
Competitive Intelligence: Automate weekly checks on competitors' pricing, campaigns, or product launches. You can use the same prompt and customise based on your competitor set. You can also level up by asking it to include changes week on week to previous updates.
Market Research: Compile insights on industry trends or customer reviews.
Content Management: Monitor and curate trending topics for thought leadership.
By replacing manual labour with intelligent automation, teams can redirect their energy to high-value, strategic work.
Try It Yourself
ChatGPT Tasks with advanced prompting isn’t just a feature; it’s a stepping stone to streamline your operations and what's next - agentic workflows. Whether you’re tackling mundane chores or enhancing GTM strategies, the possibilities are limited only by your creativity. So, how will you use this newfound superpower? I’ve made the full prompt available for you to copy, tweak and experiment with. Here’s to a productive and innovative 2025!
